Job Description

Key responsibility Areas:

1.Administrative Support

  • Perform general administrative tasks, including scheduling meetings and maintaining records.
  • Assist in preparing reports, correspondence, and presentations.

2.Clerical and Documentation Management

  • Manage and organize electronic and physical files
  • Handle data entry, transcription, and record-keeping
  • Maintain confidentiality of sensitive information

3.Office Operations & Coordination

  • Ensure smooth daily operations by coordinating office procedures
  • Assist in designing forms and improving workflow processes
  • Monitor office supplies and request replenishments as needed

4.Customer Service & Communication

  • Respond to inquiries from staff, patients, and visitors in a professional manner
  • Communicate effectively via email, phone, and in-person interaction
  • Liaise with internal departments and external stakeholders as required

Required Job Skills and Knowledge

  • Strong computer skills (hardware & software)
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Excellent communication and interpersonal skills
  • Effective time management and organizational skills
  • Strong reading comprehension and active listening abilities
  • Ability to maintain confidentiality and professionalism
  • Attention to detail and problem-solving skills

Required Education

  • Essential: Diploma degree in a relevant field

Required Experience

  • Essential: Minimum of 3 years of experience in an administrative or secretarial role
